Please kindly read these terms and conditions carefully. On booking online or signing our booking form when making reservation over the phone or by email, you are deemed to have read and accepted our Booking conditions, and are accepting the terms of these conditions on behalf of all persons in the party
These terms and conditions constitute an agreement with odctravel.com.vn. By entering the site you accept these terms and conditions. The terms and conditions are subject to change at any time, and it is your responsibility to check these terms and conditions regularly in case there are any changes. Continuing to use the site after a change has been made is your acceptance of those changes.
Tour prices are valid till December 30th 2015 is net price and quoted in American dollar per person.
Payment to odctravel.com.vn could be made by Bank Transfer or by Credit Card (please add the Bank commission depend each bank is requested)
Pay Online by Credit Card with ONEPAY/PAYPAL
We accept Visa card, Master card and JCB card since odctravel.com.vn is a verified member of OnePay system. Your card information will be protected during the transmission by using security system with OnePay. Your invoice will be created and send you with the guide line to deposit your packages.
Please be advised that there is a surcharge of 3.5% for the bank fee.

3. Deposit & Cancellation
A deposit of 30% of the tour price per person by credit card or bank transfer plus bank charges is required upon confirmation of your booking (if this amount is less than US$500, the full payment will apply).
The balance will be paid 15 days prior to the check in date, or you can pay us upon arrival in cash or credit card when we meet in Hanoi.
For FIT booking (group of less than 7 cabins)
More than 7 days prior to trip departure: No charge
7 days – 3 days before arrival: 50% charge
Less than 72 hours prior to check-in: 100% of total rate
No show: 100% of total rate
For GIT booking (group of from 7 cabins)
More than 60 days prior to trip departure: No charge
60 days – 31 days before arrival: 50% charge
From 30 to 15 days prior to check-in: 75% of total rate
Less than 15 days prior to check-in: 100% of total rate
No show: 100% of total rate
4. Final Payment
For your convenience, the balance shall be settled in Hanoi by either Cash or Credit Card.
Normally before departure, our staff will meet you in 10 minutes at your hotel lobby for tour briefing and settle the balance of the tour.
5. Refund Of Unused Service
All cancellations must be received in writing, sent to us via fax or email. The following rules apply for cancellations:
More than 14 days prior to departure: The total deposit paid to us (25% or US$ 100) will be valid for one (1) year from the date the deposit was received. During this time (365 days) the amount can be applied to other tours and services. After one (1) year the deposit amount is forfeited.
Less than 14 days prior to departure: Complete forfeiture of deposit, due to hotel charges we incur for guest no-shows. Unused Services
No refunds or exchanges can be made with respect to accommodation, meals, sightseeing tours, transport or any other services, included in the tour price, but not utilized by the tour members
Travel documents will be compiled after the deposit has been received and are sent two or three weeks prior to departure. These documents will be sent via email, and should be printed out by participants and retained as a receipt
6. Force Majeure Clause
ODC Travel cannot take the responsibility for any deviations from the contract terms due to the results of natural or social forces which include floods, earthquakes, typhoons, fires, war and government decrees of prohibition beyond the control of human beings.
Voucher will be issued by ODC Travel after the booked trip is confirmed and payment is completed.
A service voucher will be given for customer directly or by email/fax.
9. Liability & Insurance
ODC Travel is not responsible for any loss, injury or damage sustained by passengers incurred due to delay, accidents, natural disaster, political actions and unrest must be borne by passengers, but if possible, we can help you to meet the local authorities in case something bad happens.
Passengers are required to have full travel insurance. Airline schedules and local conditions may be affect accommodation and itineraries. Should this occurs, will endeavor to substitute suitable arrangement of similar value. Participation on any tour implies full agreement to above conditions by all parties involved.
All confirmations are generally confirmed by return fax or e-mail within 24 hours working. In case immediate confirmation is not possible, we will inform you of the booking status at the time of reservation.
One child under 7 years is generally granted a reduction of 50% of the tour price, provided that he/she is accompanied by at least two full paying adults and stays in the same room. An extra bed is provided for free of charge
A deposit of 25% of the tour price per person is required upon a confirmation of your booking. (If this amount is less than $100, a $100 per person deposit will apply). Once a deposit is received it is understood that you have read, understood and accepted all our Terms and Conditions. The remaining balance of the tour price (75%) is due upon arrival in Vietnam, payable at one of our office in Hanoi or the others appointed in the confirmation
What exactly is a Private Tour?
Many people ask what the difference is between a private tour and any other kind of tour. The main difference is simply that on a private tour only you and members of your party are included. So it will be just you and your guests, drivers and tour guides. This allows you to tailor the tour to suit your needs perfectly.

Private tours offer the individual much more flexibility than open tours. You can decide start times, meal times and just about everything else. Of course our experts are here to guide you and point out any pitfalls.
2. Your own Private Guides and Drivers
Once a private tour is booked you will be allocated an English-speaking guide who will stay with you throughout the tour. Any drivers will also be your exclusively and this of course gives you the opportunity to get to know them. Our guides are professional, friendly and fun and will guarantee to enhance your enjoyment of any activity.
3. Private Transfers
You have the peace of mind of knowing that once you have booked your private tour, all transfers will be included. Professional drivers will transport you by private car or minibus to hook up with the next aspect of your journey. If there is a place of interest on the way to your destination that you wish to see, inform your driver and it can be arranged, easily.
4. Choose Your Type of Accommodation.
Your level of comfort is in your hands. If you are on a budget we can recommend the best places to stay. Alternatively if you want luxury all the way, that too can be sorted out. Any specific personal needs can be dealt with, swiftly and efficiently. Dietary requirements of health issues will all be handled professionally and tactfully.
What are the differences between a Private Tour and a Group Tour
There are so many different types of tour available these days it is important to know the differences in order that you, as the customer, can make informed choices. The main two types of tours are Private Tours and Group Tours. A group can also travel as part of a private tour which further complicates the issue. Open Tours are where you as an individual simply join in with other people on shared travel.
Private tours are where you employ a tour company to tailor a tour to your specifications. Only you and your guests will be included on the tour and guides and drivers will work exclusively for you. The advantages are many and varied. You get to set the itinerary, the start times in the mornings, even the places which you wish to visit. As tour specialists we will of course advise and assist you along the way. But if you have to drive, say from Hanoi to Halong bay, and there is something along the way that you wish to see, simply inform your tour guide and it will be fitted in.
Group Tours are sometimes called seat in coach or SIC Tours and are pretty much self-explanatory. It is merely a case of booking a seat on a tour and going with the flow. These are perfectly fine, offer less flexibility but have the added pleasure of travelling in a group and of course the chance of making new friends. An advantage of group tours is that there are often group discounts available for venues and these can be passed on to the customers.
A group tour can be a great way of meeting people. Spending a few days within a group of people normally throws up a few friendships and these can be rewarding and lasting. Shared experiences are a great way to start off a friendship. Staying at the same hotel and travelling in the same bus, does can of make it impossible not to break down barriers and hold conversation.
